What is the Archiving Procedure for Non-Traditional Canvas Sites?

As part of our evaluation and redesign of non-traditional sites, and in alignment with Brown's academic course archiving procedures, DLD implemented a retention schedule for non-traditional Canvas sites in May 2024.

Under the new criteria, Non Traditional sites will be active for one AY (Academic Year, June-May).  After the AY has ended, courses will remain in a read only site for two years, and then archived when the two year period is over. A notification will appear in Canvas along with an email message to the primary instructor reminding them of the upcoming change.   

The next archive for Non-Traditional Canvas sites will be processed on Friday, May 30, 2025. The following will occur: 

  • Current, active Non-Traditional Canvas sites under the AY 24-25 term will become ready-only sites. 
  • Non-Traditional Canvas sites in the academic term of AY 23-24 will remain read-only sites for an additional year. 
  • Sites created for the AY 23-23 year and prior, will undergo archival and be removed from our servers.

Instructors can request a new site at any time following the instructions listed in our article on Non Traditional Courses. Instructors also have the ability to create an export copy of their Canvas site materials at any time during this period by following these instructions.
